How we handle personal information

Read the sections below for details about scope, collection, use, sharing, retention, security, and your choices.

Last updated: July 13, 2026.

1. Scope

This policy explains how P-Biz Solutions handles personal information when you visit our websites, contact us, create an account, or use our services. A customer may separately act as the controller of guest, employee, supplier, or other data stored in its workspace.

2. Information we collect

  • Account information: name, business contact details, organisation, role, and login identifiers.
  • Service data: information submitted to a workspace and records created through product use.
  • Technical data: device, browser, IP address, timestamps, security events, and diagnostic logs.
  • Commercial data: subscription, transaction, invoice, and support history. Payment card details may be handled directly by payment providers.

3. How we use information

We use information to provide and secure the service, authenticate users, process transactions, respond to requests, improve performance, prevent fraud, meet legal obligations, and send service communications. Marketing messages are sent where permitted, and you may opt out at any time.

4. Legal bases

Depending on the context, processing is based on performance of a contract, legitimate interests, consent, or compliance with law. Where we process workspace data for a customer, we do so under that customer’s instructions and agreement.

5. Sharing and international processing

We may share limited information with vetted hosting, communications, analytics, payment, and support providers; professional advisers; authorities where legally required; or a successor in a corporate transaction. Providers receive only what they need and are bound by appropriate obligations.

6. Retention and security

We retain information only as long as needed for the purposes described, contractual commitments, dispute resolution, and legal requirements. We use access controls, encryption where appropriate, monitoring, backups, and operational safeguards, while recognising that no system eliminates every risk.

7. Your choices and rights

Subject to applicable law, you may request access, correction, deletion, restriction, portability, or objection, and may withdraw consent. Workspace data requests should usually be directed first to the organisation that controls that workspace.

8. Cookies and updates

We use necessary cookies for authentication and security and may use preference or analytics technologies as configured. We may update this policy and will publish the revised date and provide additional notice for material changes.

9. Contact

Privacy questions and requests may be sent to [email protected].
